How to Add Your Domain Email to Microsoft Outlook

Configure your Host Monarch email account in Outlook using IMAP and SMTP settings. Works with Outlook 2016, 2019, 2021, and Microsoft 365.

Introduction

This guide walks you through adding your Host Monarch hosted email account to Microsoft Outlook using IMAP (incoming) and SMTP (outgoing) settings. IMAP keeps your emails synced across all your devices — any changes you make in Outlook will reflect on your phone, webmail, and other email clients.

What You Will Need

  • Microsoft Outlook installed on your computer (2016, 2019, 2021, or Microsoft 365)
  • Your email address, e.g. yourname@yourdomain.co.za
  • Your email password (provided by Host Monarch)
  • An active internet connection
Note: If you do not have your email password, contact Host Monarch support to reset it before proceeding.

Open Outlook Account Settings

Open Microsoft Outlook on your computer, then navigate to account settings:

  1. Click File in the top-left menu bar
  2. Click Account Settings, then click Account Settings again from the dropdown
  3. In the Account Settings window, click New to add a new account
Note: If this is your first time opening Outlook, it will automatically prompt you to set up an account. You can skip ahead to Step 2.

Choose Manual Setup

When prompted to set up your account:

  1. Select Manual setup or additional server types (if available)
  2. Click Next
  3. Select POP or IMAP, then click Next
Note: In newer versions of Outlook (Microsoft 365), select Advanced Options and check "Let me set up my account manually" before clicking Connect.

Enter Your Account Information

Fill in the following details:

Configure Incoming Mail Server (IMAP)

Enter the following settings for receiving emails:

Note: The incoming mail server always follows the format mail.yourdomain.co.za. Replace "yourdomain.co.za" with your actual domain name.

Configure Outgoing Mail Server (SMTP)

Enter the following settings for sending emails:

Enable Outgoing Server Authentication

You must ensure the outgoing server requires authentication:

  1. Click More Settings or the Outgoing Server tab
  2. Check the box: "My outgoing server (SMTP) requires authentication"
  3. Select "Use same settings as my incoming mail server"
  4. Click OK

Test Account Settings

After entering all settings:

  1. Click Next or Test Account Settings
  2. Outlook will test both the incoming and outgoing connections
  3. If both tests show a green checkmark, click Close, then Finish

Your email account is now configured and ready to use.

Troubleshooting

Connection Test Fails

  • Double-check the server address: mail.yourdomain.co.za
  • Verify the port numbers: 993 for IMAP, 465 for SMTP
  • Ensure encryption is set to SSL/TLS (not STARTTLS or None)
  • Confirm your password is correct by logging into webmail first

Emails Not Sending

  • Confirm outgoing server authentication is enabled
  • Check that SMTP port is 465 with SSL/TLS
  • Ensure "Use same settings as incoming" is selected

Emails Not Syncing

  • Verify IMAP is selected as the account type (not POP3)
  • Check your internet connection
  • Try removing and re-adding the account

Certificate Warning

If you see a security certificate warning, the SSL certificate on your mail server may not be configured for your specific domain. Contact Host Monarch support to resolve this.

Alternative Port Settings

If your network blocks the standard ports (common in corporate environments), try these alternatives:

Note: Only use alternative ports if the standard ports (993/465) do not work. Always try the standard ports first.
